SUBMISSION PRIVACY
Your manuscript.
A private editorial record.
Initial intake notice · version cmm-intake-2026-10-21-v1 · 21 October 2026. The portal status on the submission page determines availability.
Who is responsible?
The journal is operated individually under the publishing name FIELD Atlas Publishing. The operator and data controller are identified in the legal information. Administrative and privacy correspondence reaches the journal office at [email protected].
Operator identification →What the form collects
The form asks for the title, article type, abstract, keywords and model contribution; authors and affiliations; the corresponding author’s name and email; manuscript and source files; research-integrity and availability declarations; and confirmation of coauthor approval and notice acknowledgement. An additional editorial note and supporting files are optional. Required fields are marked with an asterisk; a deposit cannot be completed without them.
Do not upload identifiable participant data, access credentials, or confidential third-party material you are not authorized to share. The system also records the deposit reference, file names and sizes, timestamps, and a keyed IP-address hash for abuse prevention. The intake application does not store a raw IP address. The corresponding author must inform coauthors of this notice. No Google account, author profile, ORCID login, reviewer nomination or editor preference is required.
Why the data are needed
Data are used to receive an author-requested submission, verify file completeness, correspond about that submission and maintain its editorial record. Processing needed to respond to the corresponding author’s request is based on precontractual steps taken at that author’s request. Processing coauthor details and preventing abuse are based on the legitimate interests of organizing scholarly submissions, maintaining research integrity and protecting the service. Information may also be processed where required to comply with a legal obligation.
There is no advertising use, mailing-list subscription, sale of submission data, or permission to train AI models through this form. Acknowledging the notice is separate from any optional consent that might later be needed for another use.
Storage, providers & access
Cloudflare supplies the submission service, private R2 file storage, D1 records and Turnstile anti-bot verification. Manuscripts have no public download address. Authorized editorial personnel may access the private record for their assigned work; no acting editor is granted access merely by being named on the website. Cloudflare processes connection and security signals as part of operating these services.
The journal’s Gmail inbox receives a reference-only deposit alert. Manuscript files, author names, abstracts and correspondence addresses are not included in that automated alert. If you correspond with the journal by email, Google handles that correspondence through Gmail. Keep manuscript deposits in the portal.
These providers operate internationally; no EU-only storage promise is made. Cloudflare’s self-service agreement incorporates its Data Processing Addendum, which provides standard contractual clauses for restricted transfers where applicable. Google describes its international processing and transfer frameworks in its privacy policy. Contact the journal office for information about the applicable provider terms and safeguards. No separate Google Workspace agreement or EU-only Gmail configuration is claimed.
Cloudflare processing terms → Cloudflare privacy → Google privacy →Retention & interrupted uploads
An unfinished upload session expires after 24 hours. The hourly cleanup removes its files and record; removal may occur on the next scheduled run. Completed submissions are not deleted as abandoned uploads. They remain private while the editorial office handles the submission.
When the editorial office records a decline or an author-requested withdrawal, a 90-day retention period begins. Scheduled cleanup then removes that submission’s private files and intake record. A completed deposit is not closed merely because it is old; active editorial records remain available while the submission is being handled. Earlier deletion can be requested through the journal office. Published material requires a separate publication and preservation agreement. Editorial correspondence and any authorized private exports must be reviewed separately when a case closes.
AI review & editorial decisions
The upload service does not send your manuscript to an AI provider. AI review is a separate editorial stage. Before that stage begins, the journal must disclose the systems used, what material they receive, applicable confidentiality and retention arrangements, and the human checks and contestation process. Uploading alone does not authorize undisclosed onward transmission, public posting or model training. Publication decisions are subject to human editorial judgment.
Your requests & rights
Contact [email protected] and quote the deposit reference to request access, correction, withdrawal or deletion of your submission data. Restriction, objection and portability rights apply where their legal conditions are met. The office may ask for proportionate confirmation of identity before disclosing a private record. You may lodge a complaint with the competent supervisory authority, including the CNIL in France.
Contact the CNIL →Browser storage & receipts
The journal stores only your language preference in local browser storage. Manuscript details and the upload access token are kept in the page’s memory during a session, not saved to localStorage. Download and keep the final receipt. Closing or refreshing an unfinished upload can lose the session; there is no author account or password-reset service. Fonts are served by the journal itself. Hosting and anti-bot providers may process connection data under their own terms.
